Privacy Notice – Video Recording & Remote Judging

NGL is committed to protecting personal data in line with UK GDPR and safeguarding best practice.

This notice explains how we use video recordings for competition purposes.

1. Data Controller

The Data Controller is:
National Gymnastics League (NGL)
In partnership with participating clubs.

2. Types of Data We Process

  • Video recordings of routines

  • Child’s first name, age group, club

  • Routine scores

  • Judging notes (if applicable)

3. Purpose of Processing

Videos are processed for:

  • Technical judging

  • Appeals and verification

  • Producing competition rankings and results

We do not use videos for marketing unless separate consent is given.

4. Lawful Basis

Our lawful basis under UK GDPR is:

  • Explicit parental consent for video processing

  • Legitimate interest for scoring and competition administration

5. Data Sharing

Videos are shared only with:

  • DBS-checked NGL judges

  • Authorised competition administrators

  • Your club, if required for reviewing appeals or training

Judges cannot download or store videos.

6. Security

We use a secure, access-controlled online judging system with:

  • Encrypted storage

  • Individual logins

  • No download functionality

  • Automated access removal after judging

7. Retention

Videos are retained only until:

  • Judging is complete

  • Appeals (if any) are resolved
    Max 30 days, then securely deleted.

8. Your Rights

Parents/guardians have the right to:

  • Withdraw consent

  • Request deletion

  • Request access to information

  • Make a complaint to the ICO
